What's it like to be an Administration Officer?
Administration Officers perform clerical tasks such as inputting data, filing records, and answering calls. Sometimes called Office Administrators, Administration Officers work in a wide range of businesses in the private and government sectors. They are multi-taskers, performing reception work, bookkeeping, management of database systems, and other daily office tasks that provide administrative support.
Tasks and duties
- Monitoring and procuring office and pantry stock.
- Keeping business documents organised and secure.
- Reserving venues for meetings and events.
- Scheduling activities on the company calendar.
- Distributing reports, memos, and other correspondence to departments.
- Operating office equipment like printers and photocopiers.
- Ensuring that health and safety standards are met in the workplace.
- Making arrangements for staff travel and accommodations.
Their particular duties depend on the nature of the industry they work in. However, they may also act as a help desk for employees, helping them resolve concerns, and process requests for budgets and supplies. They may be tasked to handle external relations, answer client’s queries, book appointments, and work out deals with suppliers. Because of this, they need strong interpersonal and organisational skills.
How to become an Administration Officer
To work as an Administration Officer, you typically need to complete a Pre-University programme or the Sijil Tinggi Persekolahan Malaysia (STPM). Some employers prefer candidates who have completed a diploma or bachelor degree.
- Complete the Pre-University Programme or the Sijil Tinggi Persekolahan Malaysia (STPM). The Cambridge Assessment-endorsed STPM takes 18 months to complete, while the Pre-U takes 8 to 24 months to finish, depending on your programme. Both these courses equip you with skills in analytical thinking, communication, and leadership.
- Complete a diploma or bachelor degree in business, accounting, management or another related field. This will help you apply management and administration concepts in coordinating organisational activities and resolving operational issues.
- Consider gaining certification. Completing a certification in office management or another related topic can boost your career opportunities.
- Gain experience in an entry-level role such as Administrative Assistant. A few years of work experience builds skills in clerical and administrative work.
- Acquire other skills. Some companies combine two administration roles, so it may be beneficial to have knowledge of a different discipline, such as health and safety, accounting, customer service, and human resources.
