What's it like to be a Receptionist?
While the set of tasks may vary depending on the kind of organisation, Receptionists are usually front of house so they are the first point of contact for clients. They must have an in-depth knowledge of the organisation to attend to the queries of visitors. Receptionists must also have excellent skills in verbal communication and writing to collate information.
Tasks and duties
- Maintaining an amiable environment and being hospitable to visitors.
- Answering phone calls and taking note of the messages exchanged.
- Scheduling and confirming appointments for clients and other employees.
- Preparing meeting rooms.
- Responding to emails and sorting and distributing them to the appropriate addressee.
- Copying, filing, and maintaining various documents and records.
- Assisting other employees with administrative tasks.
- Ensuring the workplace’s security by overseeing the visitor logs.
How to become a Receptionist
No formal training is required to become a Receptionist. This career is open to anyone who is willing to learn through on-the-job training.
- Some employers will require that you complete at least a secondary school certificate or the Sijil Pelajaran Malaysia (SPM).
- Look for employment opportunities. Receptionists are needed in almost every sector. You can work in a corporate environment, restaurants, schools, and businesses.
- You will typically receive on-the-job training, usually lasting a few days to a week. Take this time to familiarise yourself with the dynamics in the workplace, and the set of tasks you’ll be responsible for, such as telephone and computer use. This is also a great opportunity to expand your skill set since every organisation is unique and has their own specialisation.
- Develop internal and external relationships. This will be an advantage especially if you’re in the pursuit of a higher role or a career in another company. You can advance to other administrative positions, such as a secretary or an administrative assistant.
