What's it like to be an Administration Manager?
Administration Managers are responsible for managing complex administrative tasks and play a leadership role in business operations. They oversee the work of Administration Officers, who are sometimes assigned to one person or a whole team of people. Administration Managers coordinate a high volume of activities across a range of functions to come together seamlessly. They are well-versed in departmental procedures and policies, and look to improve job efficiency within an organisation. Their daily observations on work patterns let them spot areas for improvement, which they include in operational reports submitted straight to top management.
Tasks and duties
- Hiring, coaching, and assigning tasks to administrative personnel.
- Creating policies and giving feedback to improve communication and organisational processes.
- Making sure that best administrative practises are observed.
- Helping Human Resources (HR) in hiring and evaluating the performance of administrative staff.
- Setting targets, timelines, and projects for their department.
- Checking and acquiring operational supplies.
- Overseeing maintenance, safety, and security of facilities and equipment.
- Reviewing budgets and dispersing funds to various departments.
Administration Managers are multi-taskers with strong organisational, communication, and time management skills. Depending on the company size, they may be in charge of a department or an entire organisation. In some instances, they may also perform some human resources duties in recruitment and employee relations. They are often confined to office work, but may occasionally go out for field work to inspect company facilities.
How to become an Administration Manager
You can work as an Administration Manager without formal qualifications, however, employers may prefer candidates with a diploma or bachelor degree.
- Complete a diploma or bachelor degree in office management or administration management. Generally, diploma courses focus on practical knowledge, while a bachelor degree also includes theoretical studies. Alternatively, a related bachelor degree in accounting, information management, business or business administration may provide relevant knowledge.
- Apply for an entry-level position as an Administrative Assistant, Office Assistant or Office Administrator to gain experience. It usually takes 2 to 5 years of relevant work experience to become an Administration Manager.
- Consider gaining certifications. A certification in management, professional communication or interpersonal interactions can boost your knowledge and career opportunities.
- Consider completing further study. A relevant masters degree can build skills in leadership, strategic planning, and policy management.
