We are a private wealth management business dealing in funds management and based in KL.
Department Objective:
The Administrative Assistant is responsible for the continuing administration and operations of our authorized representatives in the Head Office and provides support to the business of the office.
Position Objective:
To provide administrative support to the Office and to be an integral part of a multi-functional department.
Specific areas of responsibility include assistance in the areas of complaints and agreements. The support also includes taking calls for the Office, maintaining compliance policies and procedures, complaints register and the maintenance of the client database.

  • Provide general administrative support to the Office
  • Maintain various staff registers for trading, acknowledgements, authorizations, etc
  • Set-up and coordinate meetings for the Office. When necessary, attend meetings and take minutes, collate meeting papers and agendas
  • Provide as directed, a range of clerical and keyboard support services which include:
    • Creating and maintaining manual and computerized record systems and control procedures,
    • Overseeing storage and retrieval of information ; and
    • Undertaking a range of computer based functions
  • Undertake any identified project work, conference and any ad hoc assignments as designated by the Management
  • Assist in the maintenance of records to staff office space, phones, parking, company credit cards and office keys
  • Research, price and purchase office furniture and supplies
  • Maintain and distribute staff weekly schedules
  • Diary management and set up accommodation and entertain arrangements for company visitors
  • Liaise with advisory and support staff in the form of a 'help desk'
  • Assist with general enquiries from the adviser network
  • Provide general assistance within the Compliance, Finance, Sales & Marketing Services team


  • Minimum one (1) year experience in similar support role
  • Must be able to communicate and write in English
  • Ability to build rapport with people at all levels across the business
  • Ability to understand various departments and their interaction
  • Effective prioritizing and consultation skills
  • Sound problem solving skills and the ability to ‘multi-task’
  • Attention to detail
  • Sound Microsoft Office skills and computer literate with the ability to undertake Word, spread sheet and Power Point presentation work
  • Can demonstrate professionalism and confidentiality
  • Strong customer service focus
  • Highly motivated
